Automated Tasks & Workflows

Set it up once. Let the system do the rest.

Every time a case moves to Pre-Litigation, someone has to remember to send the representation letter, request the police report, open the insurance claim, and schedule the client consult. Multiply that across your active cases and you have a recipe for missed steps. inTrial Manage automates the routine work: define your rules once, and the right tasks are created every time.

Included in your subscription. Standalone tools charge $30–60/user/month for workflow automation tools.

Tasks that create themselves

When a case enters a new phase, inTrial Manage creates the tasks that phase requires, with the right assignee and the due date you set. Your team opens their task list and knows what to do. No more morning meetings to assign work. No more "did anyone send the rep letter?"

  • Tasks created automatically when a case enters a phase
  • Role-based assignment: tasks route to the paralegal, attorney, or other role on this case automatically
  • Chain tasks so the next one is created when one is completed
  • Relative due dates counted from phase entry, task completion, or case dates like trial and mediation
  • Create tasks when a case date, such as trial or mediation, approaches

Phase-based automation

Build rules with a simple trigger and action model. A rule fires when a case enters a phase, when a task is completed, when a case date approaches, or when someone presses a button. The action is either to create a task or to send a text. Different case types can have completely different rules, all managed from one settings screen.

  • Visual rule builder: pick a trigger, define the actions
  • Per-case-type rules: auto accidents, trucking, premises liability each get their own
  • Triggers: case enters a phase, a task is completed, a case date approaches, or a manual button
  • Actions: create a task or send a text
  • Recurring tasks that repeat every set number of days, optionally only while the case is in a phase

Nothing falls through the cracks

The task dashboard shows what is overdue, who owns it, and how much each team member is carrying. Managing partners can spot bottlenecks, and paralegals can prioritize their day in seconds.

  • Overdue tasks by owner on the dashboard
  • Team workload view to balance assignments
  • Due-this-week view for daily prioritization
  • Reports of tasks due and overdue by user

Key capabilities

Automatic Task Creation

When a case enters a phase, the tasks you defined are created for you with the right assignee and due date. Your team never has to manually create routine tasks again.

Chained Tasks

Complete one task and the next one is created, so steps happen in the right order.

Case-Type Workflows

Auto accidents, trucking, premises liability, and medical malpractice each have different steps. Configure separate rules for each case type your firm handles.

Workload Visibility

See how many open tasks each team member has, and which are overdue, so you can rebalance work and keep cases moving.

Relative Deadlines

Set due dates relative to phase entry, task completion, or case dates like trial and mediation.

Task Reports

Run reports of tasks due and overdue by user to see where work is stacking up.

Frequently asked questions

Do I need technical skills to set up workflows?
No. Rules use a simple trigger and action model: pick what triggers the rule (for example, a case enters a phase), then pick the action (create a task or send a text). No code, no formulas, no IT department required. Most firms set up their rules in under an hour.
Can different case types have different workflows?
Yes. Each case type can have its own rules, with its own tasks, assignees, and due dates.
What happens when I change a rule after cases are already using it?
Changes to rules apply going forward only. Cases that have already passed a phase will not retroactively receive new tasks, so you can safely improve your rules without disrupting in-progress cases. If you need to add tasks to existing cases, you can add them manually.
What triggers a rule?
A case entering a phase, a task being completed, a case date approaching (such as trial or mediation), or a manual button someone presses.
Can I set up recurring tasks like client check-ins?
Yes. A recurring task repeats every set number of days, and you can limit it to the time the case is in a particular phase. For example, check in with the client every 30 days while the case is in the Treatment phase.
Do task due dates appear on my calendar?
Calendar sync is one-way, from inTrial Manage out to your calendar, and it covers calendar events such as SOL dates, case dates, discovery, and depositions. Task due dates are not synced to calendars.
