Frequently asked questions

Does it work with both Gmail and Outlook?
Yes. inTrial supports full bidirectional sync with both Google Calendar (Google Workspace) and Microsoft Outlook (Office 365 and Exchange). Each team member connects their own calendar, and the firm can have a mix of Gmail and Outlook users — the sync works independently per user. There is no limit on the number of connected calendars.
Is the sync real-time?
Sync happens within minutes in both directions. When you create a deadline in inTrial, it appears in your connected calendar almost immediately. If you add an event in your Google or Outlook calendar and tag it to a case, it syncs back to inTrial. For critical deadlines like statute of limitations, inTrial also sends direct in-app and email notifications independent of the calendar sync for an extra safety net.
Can different team members sync to different calendars?
Absolutely. Each team member connects their own Google or Outlook calendar. Attorneys can sync to their personal work calendar, while paralegals might sync to a shared team calendar. You can also control which types of events sync — an attorney might want hearings and depositions but not every medical appointment on their personal calendar.
Will synced events show case details to anyone who sees my calendar?
You control how much detail appears on synced events. By default, events show the event title and case name. You can configure events to show as "Busy" with no details for privacy, or include full case context including case number, opposing counsel, and location. This is configured per user.
What happens if I delete a synced event from my personal calendar?
If you delete a synced event from your Google or Outlook calendar, the deletion syncs back to inTrial. For critical deadlines like statute of limitations, inTrial will flag the deletion and require confirmation before removing the deadline from the case — preventing accidental loss of critical dates. You can also mark certain deadline types as "protected" so they cannot be deleted from the external calendar.
